From OpenTable to Tablario — using the standard Guestbook export.

OpenTable provides an official Guestbook export inside Restaurant Center — Reporting → Guest Export. You trigger the export, receive an email with a download link (valid 48h), and we take it from there. Migration typically completes within one business day.

What we take from OpenTable

  • Guest profiles: name, phone, email, marketing opt-in, birthday, anniversary — per the OpenTable export
  • Diner history: first visit, visit count, cancellations, no-shows
  • Reservation data: created date, visit date, seated time, duration
  • Tags such as VIP, regular, allergens — as far as exposed in the CSV fields
  • Floor plan re-built with our help

What changes after the switch

  • Your OpenTable marketplace profile stays in place (you decide whether to keep it or cancel).
  • Per-cover commission disappears for Tablario bookings after cutover — only marketplace bookings still trigger commission, if you keep the listing.
  • OpenTable-internal reviews and replies stay with OpenTable.

How the migration runs

  1. 01

    Trigger the Guestbook export in OpenTable

    OpenTable Restaurant Center → menu → Reporting → Guest Export. Filter by tags if needed. You receive an email with a download link (valid 48 hours). The Reservation export works the same way under Group Reporting.

  2. 02

    Upload the CSV to Tablario

    You upload the exported CSVs to our secure drop-off. We map OpenTable fields (e.g. visit_count, no_show_count) to Tablario’s guest CRM schema and report any anomalies back to you.

  3. 03

    Set up Tablario in parallel

    While we migrate, we set up the floor plan, opening hours, booking rules and the AI phone script. OpenTable keeps running; a clear cutover date prevents double bookings.

  4. 04

    Cutover & listing strategy

    On cutover day we activate the web widget, Reserve-with-Google and the AI phone. We discuss with you whether to keep the OpenTable marketplace listing for reach, or cancel it to remove per-cover commission.

Exactly which data does OpenTable export?
Per OpenTable Help: guest details (name, phone, email, marketing opt-in, company, birthday, anniversary), diner history (first visit, recent visits, completed visits, cancellations, no-shows) and reservation timestamps (created, visit, seated, finished, duration). Do I lose OpenTable marketplace traffic?
Only if you actively cancel your marketplace listing. You can keep the listing as a profile and run Tablario alongside as a commission-free booking engine — incoming OpenTable bookings sync into Tablario, your own bookings stay commission-free.
What if the download link has expired (>48h)?
No problem — you trigger the export again from OpenTable Restaurant Center. The process takes a few minutes.
